What is a client meeting agenda?
A client meeting agenda is a short, timed plan for a meeting with a client. It states the purpose, the topics, the decisions you need and who will speak, and it is sent in advance. A good agenda ends with action items that each have one owner and one date.
What makes a good client meeting agenda?
A good agenda has a clear purpose, a time for each topic and a decision at the end. Put the client’s topics first, then yours. Share it at least a day before.
The structure changes with the meeting. A weekly status call needs time for blockers. A renewal needs time for what should change.
- State the purpose in one sentence.
- Give each topic a time limit.
- Name the decisions you need.
- Leave the last minutes for actions, owners and dates.
How to write action items that get done
Every action needs a verb, one owner and one date. Avoid shared owners. Read the list back before you end the meeting and send it in writing within 24 hours.
Keep the actions in the account plan so they are reviewed at the next meeting and not forgotten.
Agenda ideas for common client meetings
The generator includes six structures.
- Status call: wins, blockers, client topics, next steps.
- Review: priorities, results, risks, options, decisions.
- Kickoff: roles, goals, working rules, what we need.
- Renewal: what worked, what should change, terms, decision path.
- Escalation: facts, impact, fix, follow-up.
- Workshop: question, today, options, decision.
After the meeting
Send the recap within a day with the decisions and each action’s owner and date. Add the actions to your plan. If an action is late, ask about it before the next call, not in it.
Frequently asked questions
How long should a client meeting be?
Thirty to forty-five minutes suits most status calls and reviews. Use longer slots only for workshops. Send detail in advance so the meeting is for decisions.
When should I send the agenda?
At least a day before, so the client can add topics and bring the right people.
How do I run a meeting that stays on time?
Give each topic a time limit, name a timekeeper and park off-topic items in the recap. Leave the last five minutes for actions.
What should a meeting recap email include?
The decisions, the actions with one owner and one date each, and anything still open. Ask the client to reply if something is missing.
Is this client meeting agenda generator free?
Yes. It is free, needs no account and runs in your browser. Nothing you type is stored or sent.
